Saturday, May 2

The main focus on Saturday is the business session with a review of the 2025 reports. It is important that all Parish Council Presidents attend to vote on any motions during the Business Meeting and Post-Convention Meeting. 

The Closing Mass Eucharistic Celebration & Installation of Diocesan Officers will take place at Ascension Catholic Parish followed by dinner at the DoubleTree Hotel.

Please Note! As of April 16, 2026, all payments must be made by e-transfer to ensure they are received by the April 21st deadline.

KEY INFORMATION

  • A separate registration form is required for each person, including clergy. 
  • CWL policy requires that everyone “on the convention floor” wear a name tag. Even those attending lunch only must register so a name tag can be prepared.
  • Members may register and pay for guests, but each guest must be registered separately. Even a spiritual advisor attending lunch only must be registered. 
  • Evening meals take place after the meetings are adjourned, so you may order dinner tickets for your guests as part of your own registration.

  • Breakfast each day is on your own.
  • Morning breaks include beverages and snacks. 
  • Lunches and dinners are at the hotel, and must be ordered and paid for by April 21.

Convention Meetings

Friday – Pre-Convention Meeting:

  • An informative day featuring motivational guest speakers.
  • All clergy, especially Spiritual Advisors, are invited to attend the full day or join us for lunch. Clergy attending only the Friday lunch do not pay a registration fee. Parish Councils should cover their Spiritual Advisor’s lunch (and registration fee if he is staying for the day). All Spiritual Advisors present will be introduced.
  • Dinner is at the hotel.
  • Opening Mass—celebrated by Bishop William McGrattan at St. Mark’s Church (5552 Madigan Drive NE) at 7:00 pm, followed by a Wine and Cheese reception hosted by the Knights of Columbus. Please arrange your own transportation.

Saturday – Convention and Post-Convention Meetings:

  • The day begins with a Memorial Service for deceased members and Spiritual Advisors, followed by the Business Session.
  • Post‑Convention Meeting—is brief and includes motions to pay expenses and updates on upcoming Provincial and National Conventions. All members may attend, but Parish Council Presidents are required, as they vote on financial matters. If a President cannot attend, she should appoint a designate.
  • Closing Mass and Installation of the Diocesan Officers—at Ascension Parish, 1100 Berkshire Blvd NE, at 5:00 pm. Please arrange your own transportation.
  • Dinner will follow at the hotel.

Instructed Vote process

In December 2025, the CWL National Office sent all councils the following six documents relating to the instructed vote:

  1. Cover memo
  2. Procedure for the Constitution & Bylaws Proposal
  3. Notice of Motion to Amend the Constitution & Bylaws
  4. Proposed Constitution & Bylaws Amendment Forms
  5. Constitution & Bylaws Proposed Amendment Vote Record Form
  6. Constitution & Bylaws Proposed Amendment Vote Record Form (fillable form)

Process:

  1. Hold the instructed vote at your General Meeting in February or March. Let your council members know that quorum is needed, so you have the required number of members present to hold the vote.
  2. Quorum is 10% of your membership as of December 31, 2025. For example, if you have 100 members, 10% would be 10 members present plus 1 equaling 11 members needed to be present to have quorum and hold the vote.
  3. All voting members must have paid their 2026 dues. Dues can be accepted at the meeting so voting members are in good standing.
  4. When counting the votes, a 2/3 majority is required, and this can be calculated as follows:
    - Number of members in attendance x 2/3 or
    - Number of members in attendance x .667 or
    - Number of members in attendance x 66.7%
    If the result is not a whole number, round up or down to the nearest whole number. If you have 11 members present, you would multiply by 2/3 = 7.333, 66.7% or 0.667 = 7.337 members. Rounding the number would give you 7 members voting either in favour or 7 members voting against. If the vote is 7 or greater in favour on any of the amendments, the secretary would record a “Yes” vote for the amendments. If the vote is less than 7 on any of the amendments, the secretary would record a “NO” vote for each of the amendments.
  5. Each amendment needs to be voted on individually and the secretary records the number of members present and the number required for 2/3 majority for each proposed amendment on the Proposed Constitution & Bylaws Amendment Form 2026. She also records the result of each vote on the Constitution & Bylaws Proposed Amendment Vote Record Form.
  6. After the vote is taken, and the forms signed, the following needs to be done:
    1. Attach a copy of Proposed Constitution & Bylaws Amendment Form 2026 and Constitution & Bylaws Proposed Amendment Vote Record Form to the minutes of the instructed vote meeting.
    2. Scan the Vote Record Form and send a copy to each of the following:
      - national office at
      - Diocesan President Kathleen Winter at  
      - Provincial President Betsy Fletcher at .
    3. Your President (Voting Delegate) needs to take a copy of the Vote Record Form for voting at the diocesan convention.

 

 

2026 Convention Accommodation

We have a room block reserved for April 30th to May 3rd, 2026, at two hotels. Book your rooms early, as group rate cut-off dates apply. After that, the group rate will only be extended based on space availability.

NOTE: The convention finishes on Saturday with the Closing Mass at 5:00 followed by the dinner at the hotel. There is nothing scheduled for Sunday but you can book your room at the convention rate if you want to stay and relax before heading home.

Diocesan Convention Tips

This is a Scent-Free Event! Thank you for helping us create a welcoming, comfortable space for everyone. Please avoid wearing scented products like perfumes or fragranced lotions, as some attendees may have severe reactions.

What to Wear:

  • CWL pins and scarf if you have them
  • Red on Friday to honor our military and missing & murdered women

What to Bring:

  • A bag for convention materials
  • Cash for vendors, charitable donations, and optional drinks at Saturday dinner

Check-In Details:

  • Pick up your materials at the Registration desk:
    • Thursday, May 1st: 6:00–8:00 pm
    • Friday, May 2nd: 7:30 am–3:00 pm
    • Saturday, May 3rd: 7:30 am–3:00 pm
  • Sign in at the desk each day; wear the name badge provided to access the convention room in the Rocky Mountain Ballroom.

Friday, May 1 – Pre-Convention Meeting

Meet our dynamic speaker Leah Perrault, participate in our plan for St. Mary’s University going forward, and welcome Bishop William McGrattan.

We have arranged dinner at the hotel, where you can catch up with the many friends you have made over the years and make new friends as you enjoy a relaxing supper. 

Bishop McGrattan will celebrate our Opening Mass at St. Mark’s Church, 5552 Madigan Drive NE, at 7:00 pm. It will be followed by a wine and cheese reception hosted by the Knights of Columbus.

Saturday, May 2 – Convention Meeting / Post-Convention Meeting

This is the “business” day which includes

  • annual reporting
  • a memorial service for deceased members and Spiritual Advisors
  • instructed votes and resolutions
  • election of officers
  • All parish council voting and accredited delegates must attend. 

After the Convention is adjourned, the post-convention meeting will be led by our incoming President, Theresa Duncan. Parish Council Voting Delegates must attend

The Closing Mass is at Ascension Parish, 1100 Berkshire Blvd NE, during their regular 5:00 pm Mass on Saturday, May 2nd. The new Diocesan Council will be installed.

We will have an informal dinner at the hotel immediately following the Mass. This is always a wonderful time to socialize with our council members.

Parish Council Presidents

  • Bring your Council Banner and stand for a colorful display of unity.
  • The Post-Convention Meeting is a short meeting where we bring forward motions to pay expenses, etc., and to discuss upcoming Provincial & National Conventions. All members are welcome to attend. Parish Council Presidents should be there as they must vote on the financial decisions on behalf of their council. If a Parish Council President cannot attend, she should send a designate.

 

Convention Charities

Members and Councils are asked to consider a monetary donation toward our featured convention charities.

Calgary Diocesan Council has a tradition of collecting donations from members and councils to support the Church and charitable organizations in our diocese and beyond.

The Convention Planning Committee has chosen two charities to share the Friday collection: Airdrie and District Hospice Society and Society of St. Vincent de Paul - The North Particular Conference of Calgary. Make cheques payable to “Calgary Diocesan Council” or to the recipients: "Airdrie and District Hospice Society" or "St Vincent de Paul, North Particular, Calgary".

Our mission is to support compassionate community-based hospice helping families to access community resources, reducing barriers, and sharing grief support resources with dignity and empathy.

We provide a holistic approach to care that focuses on relieving suffering and improving the quality of life for individuals with serious life limiting illness. Focusing on the individuals needs, considering the physical, emotional, social, and spiritual well being. 

We offer Compassionate Care funds to help families bridge financial gaps, with parking, medication and supplies as well as Comfort Care Kits.

The money you donate will help us to realize our vision where no one dies alone – whether at home, in a health care setting, or eventually a dedicated hospice bed. Families and friends are supported before, during, and after loss. The determination to invest in palliative care is a hallmark of strong communities. We aim for a future, where Airdrie will have a built hospice or dedicated beds sustainably funded and community rooted.
